In Heyquip: Billing > Payments
You will have the payment recorded and applied to the invoices you chose, with any account credit used up in the same pass.
Steps
- Go to Billing > Payments and click the + button to open a new payment.
-
Find the payer in Search for a customer or business by name. The result row already shows their outstanding balance and how many invoices are open, so you can confirm you have the right account before you pick it.
- Fill Payment Details:
- Date
- Payment Method (required)
- Amount
- Reference Number (optional, but strongly recommended for a manual payment)
- Description.
- Set Branch where the payment is logged. It is required, and it decides which branch's day this payment lands in.
- In Open Invoices, tick the invoices this payment covers.
- If the account has credit and you want to use it, set Credit to Apply on the invoices it should go against.
Good to know
- Amount to Pay and Credit to Apply are two separate columns on purpose. Money coming in and credit already sitting on the account are applied independently, and one payment can do both at once.
- You do not have to pay an invoice in full. Set a smaller Amount to Pay and the rest stays on the Balance.
- Each invoice row shows its Invoice # with the branch beneath it, and its Order #, so you can match against what the customer is asking about.
- This screen is for a customer paying down what they owe across invoices. To take money on one invoice while you have it open, use Add Payment on the invoice itself.
- Charging a card on a Stripe terminal goes through a different button, Card payment. The amount appears directly on the terminal's screen.
