You will have a priced quote the customer can accept.
There are two ways to start an order. Start from the customer when you know who you are serving and need to find them a product. Start from inventory when the question is whether you have the product.
Path 1: Start with the customer
-
Go to Orders > All orders and click Create an order at the top right, then pick the branch in the Select a branch list. The branch decides which stock and pricing the order uses, so pick the location that actually holds the product.
-
In the Contacts window, search for the customer by name, phone, or email, or create them with New person or New business. See Add a client to an order.
- Check Mode: it defaults to Pickup. Switch it to Delivery if the product goes to a job site. The mode decides which steps every line moves through later. The right-hand cards are optional: Project, PO Number, Sales Representative, and Identity Verification.
-
Click Add Product, set Date From and Date To with times, and pick the product. The time affects the price and the availability, and a start time outside store hours is adjusted automatically. Click Add to rental, and repeat for every line. One order can mix rentals, sale items, custom charges, and subrentals.
-
Glance at each line: the state starts at In cart. When a price list applies, its name appears on the line, above the price. When the price is reduced, the regular price shows struck through, followed by the discount and the reduced price.
- Check the Billing summary: subtotal, automatic fees such as the damage waiver, taxes, total.
-
Open Actions at the top right and choose Send quote by email.
When you finish, the order is at the quote stage. Turning it into a contract is a separate step, so the customer can still change their mind about dates or the product.
Path 2: Start from inventory
- Click Inventory in the top bar. It is on every screen, so you can answer an availability question without leaving what you were doing.
-
Pick the branch in the Select a branch window. This is the stock you are answering from.
-
The same catalogue opens as from Add Product: Date From, Date To, Quantity, Inventory Type and Store across the top, then the category tiles. Set the dates first: availability and price both follow them.
-
Pick a category, then a product. Cards carry a Rent or a Sell tag, a count of how many are available, and the price for the dates you set.
- The product page shows its PRICING OVERVIEW, with the rates for two hours, four hours, a day, a weekend, a week, and a month. It also shows the SERIALIZED and BULK counts, and a SOURCE LOCATION list of every branch with its availability. A branch other than the one you chose carries a Transfer tag: you can use its stock through a transfer between branches. The Quantities in all stores link shows availability across all branches.
- If your product is a serialized product, you'll have to choose which serial number you'd prefer to put in the order.
- Click Create order.
- Once you are sure about the dates and items, click Confirm Reservation in the top right of the order screen.
Good to know
- Important: a quote on its own holds nothing, and the product stays available to everyone. When you email the quote, you can put the product on hold for the customer, until a date you set. Past that date, the product becomes available again. Confirming the reservation also holds the product. See Learn the rental vocabulary.
